All appointments are prepaid in full at the time of booking to reserve your date and time.
Payments are non-refundable within 24 hours of your appointment.
Credit card details are securely processed through Vagaro.
Cancellation & Reschedule Policy.
Your appointment time is reserved exclusively for you. To maintain the quality of the Well Room Glow™ experience and respect every client’s time:
Reschedules & Cancellations: Changes must be made at least 24 hours in advance to avoid forfeiting your payment.
We encourage 48-hour notice when possible so we can accommodate your preferred new time.Late Cancellations & No-Shows: Appointments canceled or rescheduled within 24 hours of your appointment will be charged in full.
Late Arrivals: Your appointment begins at your scheduled time. Please be fully ready for your artist’s arrival.
If you are more than 15 minutes late, your session will be considered a late cancellation and no refund will be issued.
Emergencies: True emergencies (illness, hospitalization, or urgent circumstances) will be handled with compassion and reviewed individually.
Artist Delays or Emergencies: In the rare event your artist experiences a delay or emergency, you’ll be notified immediately and your appointment will be rescheduled or credited in full.
This policy protects your artist’s time, ensures schedule fairness, and maintains our elevated level of service for all clients.
Service Eligibility & Health Policy.
To ensure your safety and best results, services may be rescheduled or declined if the client:
Has a sunburn, rash, open wound, or irritation in treatment areas.
Has recently had exfoliation, waxing, laser, or a peel within 24–48 hours.
Is experiencing contagious skin conditions, excessive perspiration, or illness.
Has bandages or coverings that cannot be removed.
Arrives wearing heavy lotions, oils, or perfumes that interfere with tanning.
Minor healing areas may be covered if properly protected. Please inform your artist of any medical conditions, allergies, or recent skin treatments.
We reserve the right to postpone or refuse service if proceeding could compromise your safety, comfort, or results.
FDA Notice: Spray tanning solutions contain DHA (Dihydroxyacetone), which is FDA-approved for external use only. Disposable nose filters, lip balm, and eyewear are available to protect eyes, lips, and mucous membranes.
Pregnancy & Medical Considerations.
Spray tanning is generally considered safe during pregnancy; however, we recommend consulting your healthcare provider prior to booking.
Well Room Glow™ uses professional-grade, FDA-compliant formulas applied in a well-ventilated, filtered environment.
Clients who are pregnant, breastfeeding, or have medical concerns are encouraged to discuss them during consultation.
Allergy & Sensitivity Policy.
Our professional tanning solutions are formulated with high-quality, skin-safe ingredients, but sensitivities can occur.
Clients with known allergies (especially to DHA or fragrance) should perform a patch test prior to booking.
If a reaction occurs during a patch test, we recommend postponing.
Clients who react before service may reschedule or request a refund (minus any booking/travel fees).
Refunds cannot be issued for reactions after a full service has been completed.
If irritation persists, rinse thoroughly and consult your healthcare provider.
Service Standards, Client Responsibilities & Formula Customization.
Every Well Room Glow™ service follows a precise protocol for consistent, natural-looking, long-lasting results.
Each tan is applied in one even layer for uniform development.
We do not alter solution ratios beyond manufacturer guidelines.
Up to three professional additives may be incorporated for tone and depth customization.
Clients are expected to:
Arrive with properly prepped, product-free skin.
Follow all aftercare instructions provided by your artist.
Proper prep and aftercare are essential to achieving your desired glow. Well Room Glow™ cannot guarantee satisfaction if these are not followed.
For best results: Book 1–2 days before your special event, vacation, or photoshoot so your color has time to fully develop.
For optimal results, book a trial spray tan about one month before your event. This gives us time to perfect your shade and guarantee your ideal glow when it matters most.
Important: Spray tan products do not contain sunscreen and will not protect against UV damage.
Retanning Policy:
For best results, wait until your tan has fully faded (7–10 days) before rebooking. Applying too soon can cause uneven color.
Your tan develops via the Maillard reaction — a natural process between DHA and amino acids in your skin. Factors like hydration, hormones, and skin chemistry can influence color results and fade rate.
We record each client’s formula and skin notes to ensure consistency and refinement over time.
Client Comfort & Modesty Policy.
Well Room Glow™ upholds the highest standards of professionalism.
Full nudity is not permitted.
Clients must maintain coverage of all private areas.
Female Clients: May wear swimwear, undergarments, or disposable garments (available if needed).
Male Clients: Must wear full-coverage boxers, briefs, or swimwear (no disposable garments provided).
These standards protect your comfort and uphold the professional integrity of the Well Room Glow™ Experience.
Minor Policy.
Clients under 18 require written guardian consent.
Clients under 16 must have a guardian present for the entire appointment.
Minors must wear swimwear; undergarments or nudity are not permitted.
Male minors must wear full-coverage swim trunks or boxer-style suits (no minimal coverage).
Contouring for minors under 16 is offered only at the artist’s discretion and with guardian consent.
These standards ensure all services are conducted with discretion, care, and age-appropriate professionalism.
Professional Conduct.
A respectful, professional environment is mandatory.
Any behavior deemed inappropriate — including disrespect, harassment, or compromising the artist’s comfort or safety — will result in immediate termination of the appointment without refund.
We reserve the right to refuse service to anyone whose behavior, health condition, or environment is unsafe or inconsistent with our standards.
